Responsibilities
• Oversee preparation, verification, and submission of all export-import documentation (Invoices, Packing Lists, LC documents, BL, COO, etc.).
• Ensure compliance with INCOTERMS, customs, and international trade regulations.
• Manage timely document processing to avoid shipment or payment delays.
• Supervise and mentor the documentation team, ensuring accuracy and efficiency.
• Develop SOPs for documentation processes and implement continuous improvements.
• Conduct training on export-import policies, ERP/CRM use, and compliance.
• Liaise with suppliers, shipping lines, freight forwarders, customs agents, and banks.
• Collaborate with sales, purchase, and finance teams for smooth order-to-cash cycle.
• Coordinate with management for timely updates on shipment schedules and documentation status.
• Maintain updated and accurate data in ERP and Salesforce CRM.
• Ensure supplier compliance, proper approvals, and adherence to legal requirements.
• Prepare and analyze MIS reports for shipments, payments, pending arrivals, and stock reconciliations.
• Manage LC, DA/DP documentation with banks and buyers.
• Track payments, issue debit/credit notes, and handle claims or disputes.
• Support audit requirements with proper documentation and reporting.
Candidate Profile
• Education: MBA – International Business Administration (Mandatory).
• Experience: Minimum 5 years in export-import documentation, with managerial/lead role preferred.
• Strong knowledge of INCOTERMS, export-import laws, customs regulations, and international trade practices.
• Hands-on experience with ERP systems, Salesforce CRM, and MS Office Suite.
• Excellent organizational, analytical, and leadership skills.
• Strong communication and negotiation abilities with global stakeholders.
• Detail-oriented, proactive, and capable of working under pressure.
Job Description – Quality Officer
Job Location

Responsibilities
• Conduct preliminary quality checks on incoming raw materials and record the weight of materials as per standard.
• Conduct verification and maintenance of the food safety and quality systems, hazard analysis and manufacturing processes, plant environment and finished product.
• Complete incoming inspection reports accurately and in a timely manner.
• Implement and maintain HACCP, BRC, GMP, GHP, and food safety measures.
• To ensure that the production quality is as per the order specifications & customer requirements.
• Handling customer complaints for root cause analysis, suggesting corrective actions & implementing the same.
• Perform quality checks on stored materials and report findings to the reporting authority.
• Inspect raw materials before they are used in production.
• Conduct inspections and sampling of in-process materials every 3 hours and meet customer requirements.
• Maintain BRC documents and assist in audit-related tasks.
• Manage Lab testing work to ensure compliance with quality standards.
• Monitor Pest control and Fumigation to be done timely as per standard.
• Inspect containers and ensure proper labeling marking before loading finished cargo & incoming.
• Submit finished product reports within specified timeframes.
• Daily monitoring of temperature and humidity conditions in the warehouse.
• Verify the quality, marking, and weight of packaging materials, also check how much use of moisture absorber.
• Update stack cards to maintain accurate inventory records and Timely loading and unloading of arrival.
• Ensure that mixing and production processes adhere to instruction sheets.

• Maintain books of accounts for domestic & export operations.
• Support in preparation of financial statements, P&L, and balance sheets.
• Manage LCs, packing credit, bill discounting, bank negotiations.
• Coordinate with banks, CHA, shipping, and overseas clients for export payments.
• Monitor forex fluctuations and ensure compliance with FEMA/RBI guidelines.
• Prepare daily/weekly/monthly MIS reports covering domestic and international trade.
• Develop dashboards for sales, procurement, receivables, payables, margins.
• Support management with data analysis and variance reporting.
• Handle GST, TDS, and export incentives (DGFT, MEIS/RODTEP, etc.).
• Assist in statutory audits, internal audits, and export-related audits.
• Ensure compliance with Indian laws & international trade regulations.
• Support in preparation of budgets, forecasts, and variance analysis.
• Assist in cost control & margin analysis for Agro commodities.
Skills & Competencies:
• Strong knowledge of Accounting, GST, TDS, FEMA, RBI, Export Finance.
• Working knowledge of MIS reporting, Excel, Tally ERP / SAP.
• Understanding of Agro commodities trade (procurement to export cycle).
• Ability to manage India and Overseas financial operations.
• Analytical thinking with strong problem-solving skills.
Qualification & Experience:
• CA Intermediate cleared (Articleship completed preferred).
• Strong MIS & Excel skills; experience with ERP is a plus.
